Information we use

When you schedule with us, we use the details you provide in the booking form, including your name, email address, mobile number, selected OTAH brand, desired outcome, requested time, and any additional scheduling information you submit. We also process calendar availability and booking details needed to prevent conflicts, create a meeting, and send confirmations.

How we use and share information

We use this information to offer scheduling, prepare for your meeting, provide confirmations, maintain calendar availability, support and protect the service, and comply with applicable law. Service providers supporting scheduling, calendar synchronization, email delivery, hosting, and video meetings receive information only as needed to provide those functions.

If a meeting host connects a Google Calendar account, Collab.Ninja uses the authorization granted by that host to read calendar availability and create or update the event associated with a booking. Google data is used only for those scheduling functions.

Meeting media and retention

Routine internal meeting recordings, chat logs, and auto-generated transcripts are deleted after 90 days. Raw webinar and stream recordings are retained for up to 12 months. Approved edited assets may be retained in an authorized content repository while raw recordings, unedited streams, and associated live-chat logs are deleted.

Formal governance and shareholder or member meeting minutes are retained indefinitely. Their raw audio or video is deleted after minutes are drafted, reviewed, and approved unless governing documents require otherwise. A litigation hold, audit preservation requirement, or other legal preservation duty suspends deletion for the relevant records until released.

Your choices and requests

You may ask about access, correction, deletion, portability, restriction, objection, or withdrawal of consent where applicable. Send the request to support@ownthealgo.com. We verify requests proportionately and respond within the time required by applicable law.
